VocalStack Privacy Policy

VocalStack ("we," "our," or "us") is committed to protecting your ("you", "the user") privacy.     We utilize Clerk (https://clerk.com) for user registration and authentication.

    In order to authenticate you, Clerk may collect personally identifiable during this process, as governed by Clerk's privacy policy.

    VocalStack has access to information you provide to Clerk while authenticating to VocalStack, including personally identifiable information such as your email address, phone number and avatar image. This information will vary depending on the information you provide to Clerk or the authentication method you choose.

    1.2. Transcriptions

    User audio transcription data are collected by VocalStack. These transcriptions include associated derivative meta data including but not limited to summarization, keywords, time stamps.

    Users may delete a transcription at any time, which will remove it from our database, including all derivative meta data.

    Transcriptions and transcription related meta data or derivative data will remain in the VocalStack database until the user deletes them, at which point the data will be permanently removed from our database.

    1.3. Cookies

    We use cookies to track customer usage and collect certain website preferences, such as dark theme support or preferred language, enhancing your user experience.

    Clerk uses cookies to track user authentication and session information.

2. How We Use Your Information

    2.1. To Provide and Maintain Our Service

    To verify user authentication via Clerk.

    To process and store transcriptions and related data.

    2.2. To Improve Our Service

    To analyze usage patterns and user behavior with Google Analytics and other tracking tools.

    2.3. For Customer Support

    To respond to your inquiries, support requests, and feedback.

    VocalStack partners with Chatwoot (https://chatwoot.com) in order to provide customer support via live chat. Chatwoot may collect personally identifiable information during this process, as governed by Chatwoot’s privacy policy. VocalStack has access to information you provide to Chatwoot while seeking customer support, including personally identifiable information such as your email address and phone number. This information will vary depending on the information you provide to Chatwoot or the support request you submit. Furthermore, when you use Chatwoot, VocalStack may provide contact information about you including your name, avatar image, and email address in order to assist you better.

    2.4. Necessity of Data Processing

    We respect your privacy and do not collect more data than necessary. VocalStack retains only data required for legitimate business purposes.

3. Payment Processing

    Payments for our services are processed through Stripe (https://stripe.com/). Any billing and payment information collected by Stripe is not accessible by VocalStack and is governed by Stripe's privacy policy and terms of service.

4. Information Sharing and Disclosure

    We do not share, sell, rent, or trade your information with third parties for promotional purposes.

    VocalStack will not share your data with any third parties or consultancies that help develop or maintain VocalStack's IT infrastructure.

    No transcription data, or derivative meta data, is shared with third parties or other users.

5. Data Security

    To prevent unauthorized access or disclosure of your data, we employ appropriate technical security best practices including encryption, firewalls, access controls and database security.

6. Data Retention

    We retain your transcribed audio files and related data as long as your account is active or as needed to provide the Service.

    Deleting your account will remove all your data from our database.

    We may also retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

7. Your Rights

    7.1. Access to Your Data

    You have the right to know if we are processing your personal data and to access your personal data that we process.

    7.2. Data Portability

    You have the right to receive your personal data in a structured, standard machine-readable format and to transmit it to another controller.

    7.3. Right to Erasure

    You have the right to request that we delete your personal data that we are processing.

8. Children's Privacy

    Our Service is not intended for children under the age of 16. We do not knowingly solicit or collect personal information from children under 16. If we learn that any personal information has been collected inadvertently from a child under 16, we will delete the information as soon as possible.
